Annual General Meeting, to be held on Monday 27th September 2010 at 19h00. The venue

Minutes of the Sunninghill Gardens Homeowners’ Association Annual General Meeting for the year 2008/09 held on 29th July 2009 at 1930hrs at St Stephen’s Church Hall Sunninghill
Present: Patrick Pillai ,Linda Gildenhuys, Burt Gildenhuys, Neale Penman; Lorna Middup; Bobby Mosidi, members of the Sunninghill Gardens Homeowners Association
Apologies: Proxy’s, Richard Bovell and Pat Benning / Charleston Cres
Welcome:
The meeting was opened by Neale Penman at 19h30 where he welcomed all, thanked Linda Lazarus and the Sunninghill Tops at the Spar for sponsoring the cheese and wine. Neale then introduced the members of the committee. He handed over the chair to Patrick Pillai
Chairman’s Report:
Patrick Pillai opened his report by thanking all for coming and mentioned that the number of members who attended the meeting and the vast amount of proxy’s received showed just how committed the residents were to Sunninghill Gardens. Patrick continued his report by outlining the key milestones that had occurred in the previous year. These were:
- Sunninghill Gardens has of the lowest Crime Statistics for the Northern Suburbs
- The completion of the Tudor Road guardhouse.
- The upgrade of the CCTV
- A successful Family Day in the Kisumu Park recently
The Sunninghill Gardens Articles of Association was discussed re the amendment to the Articles with regards the number of Directors to read a minimum of 4 Directors and a maximum of 8. The present articles state a minimum of 8 Directors and a maximum of 12. This is impractical and very costly. The meeting voted in favour of the change, subject to Auditors approval

Crime Report:
Linda opened by giving feedback on the new security initiative:
- The new SG security initiative of pro-active policing and zero tolerance for criminals was launched in May of 2007.
- The upgrade in CCTV has definitely assisted in maintaining the lowest crime statics in years. (Lingerette & Tudor and Lingerette & Tana Rds)
- This is a wonderful achievement given the fact that crime continues to escalate, especially violent crime and that the density of the area too has increased.
- Complex Crime predominates
- The involvement of Savika in the rest of Sunninghill and the crime prevention operations they held with the SAPS and Metro Police has also helped to take pressure off SG by reducing crime in the areas of Sunnignhill bordering SG.
- SG averaged on between zero and 1 crime per month, the best stats in eight years.
Audited Financial Statements For The Year 2008/2009:
These were presented by Linda Gildenhuys.
- The actuals versus budget were discussed and there were no major variances, with the exception of gardening where a new Fleetwood Jungle Gym had been bought due to the original one being old and dangerous and special projects where the special levy did not cover the cost of the new CCTV installations.
- Income versus expenditure was presented. An over collection is noted
- Due to the fact that the Sunninghill Gardens Committee is a Section 21 Company, we are tax exempt on income and cannot carry large reserves. Provision is made for legal costs and security as a “reserve”
Budget 2009/2010:
This was presented by Linda Gildenhuys
- Proposed budgeted expenses were based on CPI increases, with the exception of one or two items, one being the electricity, due to the ESKOM increases; insurance due to having to increase public liability cover and insurance for the new camera’s and guardhouses; maintenance due to work that needed to be done on the booms and the Tana Road guardhouse.
Linda announced that the Committee have decided, due to the present economy, that there will be NO special levy this year, but there would definitely be one next year. An increase of R13 / house / unit would be implemented effective 1 August 2009. This was well received with a unanimous vote in favour!
Election of Committee for 2009 / 2010:
No changes to the Committee with no new nominations. A note of thanks was given to the existing committee.
General:
The following issues were raised:
- The Lack of Primary Schools in the area, particularly now that Rivonia Primary apparently does not guarantee entrance. To be discussed with the Ward Councillor.
- Refuse Collection since the Municipality is currently on strike. Linda to revert.
- The Development on the Corner of Tana & Nanyuki Rds. No progress on commencement date.
- Road Improvements. The extension of the K60 between Megawatt Park and St Peter’s School, is imminent as is the extension of Maxwell Drive to Allandale Rd.
- The Concern re the 7 story Makro Building
- The repetitive potholes on Nakuru Rd caused by the poor storm water infrastructure and channeling of water from collection dams, from Waterfall Estate
- The part development on Kitui Rd. The balance of land has been bought and the services are presently being installed
- The sub-divided property in Kitui Rd. The owner needs to cut the grass.
